Creativity on the Clock: Time flies when you're creating.

Juggling multiple projects, deadlines, and client needs demands careful planning and organization. Here are ten practical tips tailored specifically for graphic designers (but useful to anyone!) to help optimize their time and achieve their goals efficiently. 


Mastering time management is key to achieving success. I have to regularly remind myself of these tips to stay on top of things!


1. Prioritize Tasks

  • Identify Urgent vs. Important

  • I've found my ADHD brain prefers to procrastinate "urgent" tasks and focus on things that could realistically be done later. Being prepared for this habit helps stop it before it starts, and avoid any feelings of needing to rush.

  • Focus on high-priority tasks that have tight deadlines or significant impact.


2. Set Clear Goals and Deadlines

  • SMART Goals: Set Specific, Measurable, Achievable, Relevant, and Time-bound goals for each project.

    • This is actually something I implement in supplemental resources for students in my materials for School Mate® !

  • Deadlines: Establish realistic deadlines for each task and project. Use these deadlines to create a timeline or schedule.


3. Use Time Management Tools

  • Create a Task List: Use a daily or weekly task list to keep track of what needs to be done, and use a system that works for best for you! Are apps convenient, or do you forget the task as soon as you turn your screen off? Are sticky notes your thing, or do you lose them? I prefer keeping a library themed planners, keeping my clients separate and compartmentalized from my personal life.

  • Use Project Management Software and Time Tracking Apps.

    • Tools like Trello, Asana, or Monday.com can help you organize tasks, set deadlines, and track progress. Apps like Toggl or Harvest can help you monitor how much time you spend on different tasks and projects.


4. Schedule Dedicated Work Blocks

  • Block Out Time: Allocate specific time blocks for different tasks or projects. During these blocks, focus solely on the designated task.

  • Master Multitasking: Focusing on only one project at a time can improve efficiency and quality, but I enjoy choosing two things to work on simultaneously to "hack" my attention span.


5. Minimize Distractions

  • Work Environment: Create a workspace that minimizes distractions. I recommend decorating your space so it reflects your personality, and feels good to be there!

  • Limit Social Media: No doom-scrolling! Use apps or browser extensions to limit time spent on social media or other non-work-related websites during work hours.

    • I actually like to schedule time for "doom-scrolling" and personal social media use since I know I'll be tempted regardless.


6. Stay Organized

  • File Management: Keep your digital files and folders organized to save time when searching for assets or documents. I can't stress enough how important this is. Future "you" will thank you, and you'll be prepared to simplify information if/when you need to involve another designer, colleague, or assistant.

  • My favorite: Schedule content in advance! Sometimes we get a burst of energy and want to knock out a bunch of work at once. Take advantage of platforms that allow you to queue prepared material to roll out at optimal times.


7. Delegate When Possible

  • Collaborate: If you’re working as part of a team, delegate tasks to others based on their strengths and availability.

    • Meeting often strengthens communication and makes this much easier to accomplish.

  • Outsource: Consider outsourcing tasks that are outside your core competencies or that can be handled more efficiently by someone else.


8. Set Boundaries

  • Client Communication: Set clear boundaries for when you are available to communicate with clients. Establish specific times for checking and responding to emails.

  • Work-Life Balance: Make sure to set boundaries between work time and personal time to avoid burnout.

    • Carving out time for hobbies is non-negotiable and crucial for your creative well-being.


9. Take Regular Breaks

  • Pomodoro Technique: Use techniques like the Pomodoro Technique (work for 25 minutes, then take a 5-minute break) to maintain focus and avoid fatigue.

    • I actually use this technique to stay focused and motivated when cleaning my house too!

  • Scheduled Breaks: Take regular, scheduled breaks to rest and recharge. It might seem like a good idea to power through as much as possible for as long as possible, but taking breaks can stave off "brain mush." You'll actually get more done, and feel more inspired along the way.


And finally, we do not take enough time to give ourselves credit for what we've accomplished.


10. Review and Reflect

  • End-of-Day Review: Spend a few minutes at the end of each day reviewing what you’ve accomplished and planning for the next day.

  • Weekly Reflection: Take some time at the end of the week to assess your progress, identify any challenges, and adjust your plans as needed.


Effective time management is essential for anyone to thrive. By prioritizing tasks, setting clear goals and deadlines, and utilizing tools to stay organized, we can navigate our workload with confidence. Incorporating regular breaks, setting boundaries, and maintaining a healthy work-life balance are equally important for sustained productivity and well-being.
